Boston Wedding Transportation: Build a Practical Timeline

Boston wedding transportation works best as a timeline of specific movements: who travels, from which entrance, at what time, and in which vehicle. Plan the couple, wedding party and guests separately, then confirm waiting, photo stops and the final return.

Write the movements before choosing cars

Start with the ceremony arrival requirement and work backward through getting ready, boarding, road travel and the venue handoff. Then add photographs, reception and the final send-off. A venue’s event time is not necessarily the correct vehicle pickup time.

Separate locations need separate allowances. Discuss permitted loading with the venues, and identify a coordinator who can communicate when a ceremony or photo session runs late.

Match each group to a vehicle brief

  1. Count the couple and anyone accompanying them.
  2. List wedding-party passengers for each leg.
  3. Plan hotel-to-venue guest transfers separately.
  4. Include bags, clothing space and equipment needs.
  5. Confirm the return headcount and destinations.

The published fleet lists a stretch limo for up to ten and a Business Van for up to fifteen. These are planning capacities; confirm the actual seating, luggage and access requirements. Do not assume a dress, equipment and maximum passenger count always fit comfortably together.

Compare the complete wedding quote

Ask whether the booking is by transfer, retained hours or several vehicles. Include stops, waiting, positioning, mileage and gratuity. Under current published rates, van and limo hourly bookings have four-hour minimums; sedans/SUVs have three-hour minimums. Review the actual final quote.

Do not infer decorations, drinks, a particular color or model, or complimentary upgrades from an illustration. Confirm any special request explicitly. Food and beverages require permission under the published passenger policies.

Make the departure and contingency plan usable

Give the coordinator the reservation contact, entrances, passenger lists and person authorized to approve amendments. Choose a permitted guest meeting point. Tell travelers when to be ready rather than only when the vehicle is expected.

Review cancellation and change terms and send material revisions before the day. For pricing detail, see the stretch-limo cost guide; this article focuses on the wedding timeline.
