How to book car service for an executive: the checklist

Most problems on the day come from a missing detail at booking. When you book car service for an executive, send everything in one message or one online reservation:

  1. Passenger. The executive’s full name as it should appear on the chauffeur’s sign, plus a mobile number they will answer on the day.
  2. Addresses. The full street address for every pickup and drop-off, including the building entrance or hotel name.
  3. Timing. The pickup time, and for departures, the flight time so the pickup can be checked against it.
  4. Passengers and luggage. How many people and how many suitcases. A Business Sedan carries up to 3 passengers and 2 suitcases; a Business SUV carries up to 6 passengers and 6 suitcases.2
  5. Flight details. Airline and flight number for every airport pickup, so the flight can be tracked.
  6. Your contact. Who dispatch should call if something changes: you, the executive, or both.
  7. Billing. Who pays and where the receipt should go.

Booking airport pickups for an executive

Airport pickups have the most rules, so read the terms before you book car service for an executive arriving by air. At Mak Louren:1

  • Wait time. 40 minutes complimentary for domestic flights and 60 minutes for international flights. Waiting time beyond that is charged in 15-minute increments.
  • When the wait starts. At actual touchdown, or 30 minutes after the scheduled landing time, whichever is earlier.
  • Delays. Inbound flights are tracked. Flight-delay coverage is up to 30 minutes past the original scheduled arrival; longer delays can mean extra waiting charges. If a flight is badly delayed or changed, call dispatch.
  • Early arrivals. An earlier pickup cannot be guaranteed if the flight lands early, because chauffeurs work to a dispatch schedule.

Tell the executive where to meet the car. Logan pickup points differ by terminal; see the Logan terminal pickup guide. International arrivals clear customs in Terminal E first, which can take time; see international arrivals at Terminal E. For a first-time visitor, ask about airport meet and greet so the chauffeur meets them inside.

For departures, work back from the flight time. Airlines set their own check-in and bag-drop deadlines, and TSA advises checking with your airline.3 Our guide to how early to leave for Logan has sample timings.

Changes, cancellations and no-shows

Executive schedules move. Before you book car service for an executive, know the change rules. Mak Louren’s terms state:1

  • Cancellations are free up to 48 hours before pickup. Within 48 hours, the full fare is charged. If payment was already processed, a 6% processing fee is deducted from a refund.
  • Changes to pickup time or location depend on availability and may change the price. Large changes may need a new booking.
  • No-shows. If the passenger does not appear within the complimentary wait and cannot be reached, the full fare is charged. A mobile number that the executive answers is the best protection.

Booking car service for an executive regularly

If you book for the same executive every week, or for several people, ask about a corporate account. Keep a standing profile for each traveler with their mobile number, preferred vehicle, home and office addresses, and usual airline. It saves retyping and reduces errors. Travel managers setting policy for a whole company can read the corporate car service guide for travel managers.
