A Boston roadshow itinerary works when meetings are grouped by neighborhood, travel time between stops is planned from real weekday traffic, and one chauffeur and vehicle stay with the team all day. Downtown, Back Bay, the Seaport and Kendall Square are usually 10 to 20 minutes apart by car. Route 128 offices in Waltham or Burlington add about 30 to 40 minutes each way. This guide covers sequencing, buffers, vehicle size and what to send with the booking.

Quick answer

Keep downtown, Back Bay, Seaport and Cambridge meetings together, and put Route 128 visits at the start or end of the day.

How to sequence a Boston roadshow itinerary

Most Boston roadshows cover the same few areas: investment and law offices in the Financial District and Back Bay, companies and labs in Kendall Square, venues in the Seaport, and corporate campuses along Route 128. Distances are short, but crossings between them are slow at peak times. A good Boston roadshow itinerary groups stops so the car is not crossing town between every meeting.

  1. Anchor the day on the fixed times. Put the meetings that cannot move on the plan first, then fill around them.
  2. Cluster by neighborhood. Back-to-back meetings in the Financial District and Seaport are only minutes apart. Keep Kendall Square and Back Bay meetings together where you can.
  3. Put Route 128 at an edge of the day. A Waltham or Burlington visit adds about 30 to 40 minutes each way from downtown.1 Schedule it first, coming from a hotel on that side, or last, before an evening flight.
  4. Keep the airport leg realistic. Allow for the drive to Logan, plus the check-in and security time your airline recommends.3
  5. Leave lunch flexible. A working lunch in the car or a 45-minute gap gives the schedule room to absorb a late meeting.

For a roadshow that continues to another city, add a city-to-city leg. Providence is about 70 minutes from downtown Boston by car on a weekday morning, and Hartford about 1 hour 40 minutes.1 See the Boston to Providence guide and the Boston to Hartford guide.

Buffers that keep a Boston roadshow itinerary on time

  • Security and check-in. Many downtown towers need visitor registration and ID at the lobby desk. Plan 10 minutes from curb to meeting room.
  • Peak hours. The 8am to 9:30am and 4pm to 6:30pm windows are the slowest, especially on bridges into Cambridge and on I-93 and I-90.
  • Event days. Games at TD Garden and Fenway Park and large shows at the BCEC add traffic near those venues. Check the calendar for your date.
  • Airport delays. Massport has posted an advisory about FAA-required safety work causing flight delays at Logan in the afternoons and evenings.4 Give the first meeting after a flight a cushion.

Send the stops and times. Mak Louren schedules the day as hourly or as-directed service across Boston and Greater Boston.

Choosing the vehicle for a roadshow

Roadshow transportation in Boston should be sized to the team and the luggage, not just the headcount. Presentation cases and garment bags take room.

VehiclePassengersSuitcasesHourly rate
Business Sedanup to 32$100/hr
Business SUVup to 66$125/hr
Business Vanup to 1510–12$165/hr, 4-hour minimum
First Class Sedan or SUVas aboveas above$150/hr sedan, $155/hr SUV

Mak Louren published rates and capacities, updated October 7, 2026. 3-hour minimum (4 hours for the Business Van). Gratuity not included.2

For two or three executives with carry-on bags, a sedan is usually enough. If the team has full-size luggage for a flight that evening, or more than three people, book an SUV. To see what a full day costs, read how much a chauffeur for a day costs.

What to send with your Boston roadshow itinerary

Executive assistants and coordinators often book on behalf of the traveling executive. A complete booking request includes:

  • Each stop on the Boston roadshow itinerary, with the full address and meeting time
  • Passenger names, the number of passengers and a mobile number for the lead traveler
  • Luggage and presentation materials
  • Flight numbers for any airport legs, or the FBO for private flights (see private aviation chauffeur service)
  • The day-of contact if the schedule changes

With as-directed service, stops can change during the day; call (617) 888-7723 as soon as plans change. Companies that run roadshows regularly can ask about a corporate account.

Frequently asked questions
